- Data handling and security
- Paidnice Limited (NZ) says it keeps customer data on Google Cloud in the US, with no UK or EU residency. Its October 2026 DPA says personal data won't train AI models unless you instruct or authorize it, and it lists sub-processors, OpenAI among them, with locations. It states annual pen tests.Read November 5, 2026: privacy policy, security page. Sources17,18,19,20
What it does
According to its help centre, Paidnice reads your unpaid invoices from Xero or QuickBooks Online and runs the chase you set up as policies: reminders before, on and after the due date, late fees and interest, scheduled statements, and escalations to someone on your team.
Every customer sits in one group, and that group's policies decide what the customer gets. A late fee can repeat every set number of days while the invoice stays unpaid, and Paidnice writes it to your ledger as a new invoice or an extra line.
When an invoice needs a person, an escalation policy raises a task to call, stop credit or send a template legal letter, assigned to a named user. A broken payment promise can set off its own firmer email or escalation.
Reminders link to a customer portal, and statements can too. With Stripe connected, the help centre says Paidnice records the payment, the Stripe fee and any processing fee in your accounting system. Once an invoice is paid, its pending actions are removed.
Customer replies can come back to a Paidnice inbox, if your sender profile sends them there. Paidnice says its AI reads each one, logs a promised payment date, adds a PO number the customer sends to the invoice, and drafts the answer for a person to approve. Per the help centre, the agent opens a query when a customer says an invoice is wrong and hands anything off-topic to your team.
Who it fits
Paidnice fits small and mid-sized businesses on Xero or QuickBooks Online that invoice other businesses on payment terms. Its about page puts the range at up to $50m a year in revenue.
Paidnice's pricing page prices plans by the invoices you raise each month, billed monthly. In November 2026 Essentials was $69 a month for 150 invoices, 600 emails and two team members, and Pro ran from $99 a month for 300 invoices to $799 for 4,000, with unlimited users.
Sending from your own domain, payment plans and in-app calling start on Pro. NetSuite, Business Central and Sage Intacct connect only on the Custom plan, from $999 a month.
Accountants and bookkeepers can pay for several client organisations on one Pro account, at $29 a month for each extra entity.
I'd shortlist it if your invoices live in Xero or QuickBooks Online and the follow-up after the first reminder is what slips. If you're weighing it against the other accounts receivable agents, compare what each one does once the scheduled reminders run out.
Paidnice's go-live checklist suggests a week with every policy in Draft. I'd use that week to pin a target for days to pay before switching anything to Active.
Limitations
Below the Custom plan, the only accounting systems Paidnice connects to are Xero and QuickBooks Online, apart from newer ledgers such as Odoo in a closed testing program. Its pricing FAQ rules out Sage 50 and Sage 200, so if your invoices live elsewhere, weigh building the chase yourself.
The help centre says Stripe payments work for Xero and are in beta for QuickBooks Online, by request, although the pricing page lists Stripe on every plan. Refunds made in Stripe aren't written back to your ledger.
Each reminder policy sends once per invoice to each person, and a reminder whose date has passed isn't sent unless the policy allows it up to 30 days late. So a long chase means several reminder policies, plus statements, repeat fees and escalations.
Draft actions don't notify anyone when they arrive, so someone has to check the Draft tab or the dashboard's Upcoming Actions card.
The help centre's users article describes only editor and viewer access to settings, and says everyone in an organisation can send reminders by hand and work escalations. Paidnice's roles page also shows view-only, assigned-only and approver-first users, so ask which of those your plan includes.
The pricing page's plan lists don't name AI reply handling, and Paidnice's own pages disagree on who has it. Its September 2026 announcement opened limited early access for Xero users, while its page for AI assistants calls it live for all customers on Xero and QuickBooks.
The security page says customer data is stored in the US, on Google Cloud, and that Paidnice doesn't offer UK or EU data residency at this time.
